Require a complete opening packet
Define the minimum information needed before a matter becomes active. Use structured fields for client identity, practice area, responsible attorney, billing arrangement, key dates, and conflict status.
Separate approval from data entry
The person entering information should not silently approve exceptions. Route unusual conflicts, fee arrangements, or access restrictions to the appropriate decision-maker.
Create the standard workspace
- Matter naming and numbering.
- Default team and permissions.
- Folder and document templates.
- Deadline and task plans.
- Billing and trust settings.
- Client communication preferences.
Audit the first 48 hours
A short post-opening check catches missing dates, wrong permissions, incomplete engagement documents, and unassigned work before they become client-service problems.
Turn policy into required evidence
A checkbox is useful only when the firm knows what supports it. Conflict approval, signed engagement terms, payment status, identity details, and authorization for any exception should be attached or linked to the opening record.
Use conditional requirements so the process fits the matter. A corporate client, a related-party representation, or a restricted-access matter may need information that an ordinary individual matter does not.
Control access from the beginning
Apply permissions from matter type, team assignment, and documented restrictions rather than relying on staff to adjust access later. Confirm that inherited folder, document, messaging, and reporting permissions match the approved team.
Changes should leave a visible record. When someone joins or leaves the matter, the firm should know who approved the change and which information became available.
Use defects to improve the opening process
- Track missing engagement documents and unresolved conflicts.
- Measure the time between approval and an active workspace.
- Review corrections to names, rates, and responsible professionals.
- Identify deadlines entered after the first quality check.
- Update forms or training when the same defect repeats.
Give the first-day review a clear owner
The opening process is not complete when a matter number exists. Assign a person other than the original data-entry owner, when staffing permits, to review the new workspace against a short checklist. The reviewer should confirm the client identity, responsible professional, engagement status, important dates, billing terms, team access, and required starting tasks.
Resolve defects visibly. A missing document or incorrect permission should become an assigned correction with a due time, not an informal message that may be forgotten. If the matter must begin before every item is complete, record who approved the exception, what temporary protection applies, and when the issue will be reviewed again.
Summarize repeated defects each month. If the same field is regularly wrong, improve the form, source data, instructions, or approval rule. This turns quality review into process improvement and prevents the firm from paying for the same cleanup on every new matter.
Include urgent matters in the design instead of letting urgency erase controls. Define the minimum safe opening requirements, who may approve a temporary exception, and how the remaining steps will be completed after immediate client needs are addressed.
