Fair Use Policy

LegalsOne's flat-rate subscription model is designed to give law firms everything they need. This policy defines what "everything" means — and the limits that keep the platform performing well for everyone.

Effective Date: February 23, 2026

1. Purpose

LegalsOne offers flat-rate subscriptions intended for the full, everyday legal operations of a law firm. This Fair Use Policy ("FUP") exists to define what constitutes normal use versus activity that could impair our infrastructure or create an unfair advantage. Our goal is straightforward: firms doing genuine legal work should never run out of resources. Firms abusing the flat-rate model will be asked to adjust or upgrade.

2. Storage Limits

Storage allocations are determined by subscription tier and disclosed in your Order Form. Current reference limits are:

Starter 100 GB Suitable for firms up to ~5 staff
Professional 500 GB Suitable for firms up to ~15 staff
Enterprise 2 TB Suitable for firms up to ~25 staff

Storage includes documents, case attachments, backups of tenant data, and any other user-uploaded content. System-generated data (logs, audit records, internal database entries) does not count against your storage allocation. When a firm approaches 80% of its limit, LegalsOne will notify administrators. Additional storage can be added in 100 GB increments at the then-current rate.

3. Automation Limits

Workflow automation features are intended to automate legal processes your firm performs regularly — such as intake routing, deadline reminders, document generation triggers, and status notifications. Reasonable use means automations are tied to genuine legal events and firm activity.

The following are considered outside fair use:

  • Triggering automations at rates exceeding 500 workflow executions per day without advance coordination with LegalsOne;
  • Creating looping automations that trigger themselves indefinitely;
  • Using automation features to scrape, harvest, or mass-export data from the Platform;
  • Running machine-learning training workloads or batch processing pipelines unrelated to legal operations.

4. API Usage

Where API access is included in a subscription tier, it is subject to rate limits defined in the API documentation. Exceeding published rate limits will result in throttled responses. Sustained API overuse that impacts other customers may result in temporary suspension of API access. LegalsOne will work with customers to accommodate legitimate high-volume integrations through custom arrangements.

5. Bandwidth

Each firm's environment is provisioned with bandwidth appropriate for normal daily legal operations, including document upload/download, video calls through integrated tools, and portal access by firm clients. Bulk data transfers (e.g., initial data migration, mass import/export) should be coordinated with LegalsOne support to ensure scheduling does not degrade performance.

6. Prohibited Workloads

Regardless of tier, the following are never permitted on the LegalsOne platform:

  • Cryptocurrency mining or any blockchain-related computation;
  • Video encoding, rendering, or media production unrelated to legal work;
  • Hosting websites, applications, or content for parties other than the subscribing firm;
  • Running general-purpose file hosting, cloud storage, or backup services for non-firm data;
  • Synthetic load testing or stress testing of LegalsOne infrastructure without prior written consent.

7. Review & Monitoring

LegalsOne monitors platform usage in aggregate to ensure infrastructure health. We do not review the content of client matters except where required by law, to investigate a security incident, or where explicitly requested by the subscribing firm's administrator. Usage anomalies that suggest a policy violation may trigger an automated alert and manual review by our operations team.

8. Overages & Upgrades

When storage or automation usage consistently exceeds the fair use thresholds for your tier, LegalsOne will:

  1. Notify the firm administrator by email;
  2. Provide a 30-day period to reduce usage or upgrade to a higher tier;
  3. If usage remains in excess, apply overage charges at the then-current rate or recommend a tier upgrade.

LegalsOne will not retroactively charge for historical overages during the first notification period.

9. Enforcement

Violations of this Fair Use Policy that pose an immediate risk to platform stability may result in temporary throttling or suspension without prior notice. In all other cases, LegalsOne will follow the notification process described above. Persistent non-compliance following notice may result in termination pursuant to the Terms of Service.
